Technology to solve letters crisis

September 9th, 2023

Hi all,
Consider the following scenario:
There is a residential-University with approximately 1000 students and 100 faculty (all staying on campus). All their letters, postcards, couriers (and what not) get delivered to a common place (the University reception) where they are received by a Security Guard who creates an entry into a register.
The rather sad part is – students and faculty have to come individually to find out whether they have received any letter/courier.
I was wondering if there is a way one could help create a system where this would be simplified:
1. If student roll numbers and faculty employee ids are created into barcode stickers which the security guard could just stick on the incoming letter/courier and then use a barcode reader to scan it.
2. Using the barcode reader (connected to a computer) should automatically send out an email to the relevant person that he or she has a letter/courier at the Reception of the University.
Would something like this be possible? I’m open to any suggestions really – it is just a little difficult to see this happening! Here we have as a race reached the moon and back, but still resort to some pretty silly things in real life.
Let me know please – much appreciated.

I think that the best solution would be to eliminate letters and use the Internet. For physical goods, the best solution would be to have a register with student contacts and when a package arrives, a person contacts the student to tell him/her that there is a package.

Well, people and authorities alike could do all their communication via electronic way only, saves paper too. It’s about time. The simplest solution.

They can move their spoiled fat asses and check every couple of days. It’s not that big a deal.

Well, if your organization is willing to splash the cash for sth so useless to get an overpriced solution (which btw, can also be solved by putting someone to notify the students or even by hiring someone as a postman; that’s a common practice in situations like this) you can use wickets for the students/staff and e-tag them and then use a people’s counting service to notify them.
